Torque is looking for an Administrative Coordinator to provide a wide range of internal support to the company. Duties will include, but are not limited to, fielding phone calls, handling incoming packages, greeting customers, database maintenance, data entry, word processing, scheduling and organizing meetings/events, event coordination, managing and ordering supplies, and miscellaneous accounting functions. The person in this position must be highly organized, can handle many projects at once, is very detailed oriented, flexible, and good with people.
Major Duties and Responsibilities:
– General Office and Accounting Activities –
Fielding incoming phone calls and delegating them to the right person
Fielding all incoming packages and delegating them to the right person
Greeting customers
Scheduling and organizing internal meetings and events
Filing and organizing paperwork
Keeping stock of and ordering office supplies
Point of contact with janitorial, windows, floors services
Breakroom organized and clean
Miscellaneous accounting functions: credit card transation entry, daily customer invoicing, assist with accounts payables, and assist with weekly check runs
Miscellaneous projects and/or other duties may be assigned
– Event Coordination –
Marketing/Sales events and tradeshow tasks include but are not limited to: booking hotels, booking flights, arranging catering, making reservations, etc.
Ensure adequate stock of all promotional materials and order in when needed
Planning all company wide events such as company holiday party, luncheons, meetings and other company gatherings throughout the year.
– Human Resources –
Assist with payroll database (ADP)
Track employee PTO
Point of contact for hiring needs and setting up initial interviews and interview process
Tasks include posting job ads on job boards internally and externally
Point of contact for benefits and renewal with the benefits vendor
Handbook updates and compliance
Federal/State labor compliance
Maintain OSHA records
Maintain company calendar
– Executive Assistant –
Assisting CEO with bills and other payments (Quickbooks)
Keeping record of accounts
Assisting in communication with various contacts
Organizing paperwork and mail
Running various errands
Knowledge and Skills:
Experience: Three to five years of similar or related experience.
Education: High school diploma. A two-year college degree or completion of a specialized course of study at a business or trade school is preferred.
Interpersonal Skills: This role will require interaction across many departments within Torque. Therefore, this person must work well with others.
Other Skills:
1. Knowledge of office automation products, word processing, spreadsheet, e-mail, personal computers, PC operating systems, peripheral equipment, familiar with ADP and Quickbooks etc.
2. Must be able to work independently and use general office equipment.
3. Event planning and coordination skills
